Client Care Coordinator/Virtual Assistant

The IFS Telehealth Collective, a multi-state virtual group practice specializing in IFS teletherapy, is looking for a Client Care Coordinator with experience and a desire to grow with us.
In this role which is central to our operations, you’ll be the first point of contact with potential clients reaching out for help and matching them to the therapist who best suits their needs. If you enjoy putting others at ease, are organized, reliable and trustworthy — we encourage you to apply.
The ideal candidate will be skilled at screening potential clients, conducting a brief intake interview, and coordinating the first session with a team therapist. Experience in the mental health field is required and familiarity with the Internal Family Systems Model is a plus.
Position Duties:
Accurately screen telephone calls and emails before scheduling consultations
Continuously monitor all potential new client inquiries (email, internet, phone & referrals)
Immediately contact every potential client, establish rapport and screen for appropriateness
Timely follow up with pending inquiries
Maintain updated logs and reporting systems to reflect status of all potential new clients
Conduct new client consultations with warmth and compassion
Take accurate notes during the client initial consultation
Schedule appointments for new clients with clinicians
Work with assigned therapist to complete the initial consultation process
Assist Executive Director with other administrative tasks as needed
Qualifications:
Experience doing intake and related administrative tasks, preferably in the field mental health
Effective verbal and written communication skills
Ability to be resourceful and proactive when issues arise
Professional attitude and appearance. Discretion and integrity are central to this role
Customer service skills to engage, understand, and help retain clients
Excellent organizational skills. Ability to multitask and manage priorities
Proficiency with technologies like GSuite, Google Voice, Acuity, Simple Practice and Trello
Compensation:
Competitive compensation package.
We plan to offer other employment benefits as we grow.
Starting at 20 hours per week working up to full-time of 40 hours per week
Physical Needs:
A quiet confidential space to meet with potential clients.
Your own laptop or desktop computer (with camera) capable of streaming video.
Earbuds or headphones with built-in microphone.
Great Internet connection; i.e. if more than 1 person is using your internet service at the same time, you’d be able to stream a movie on multiple computers at the same time without an issue.
